Take this opportunity to GROW together!RESPONSIBILITIES:Manages vendor set up and payment in internal systemsSupports Finance team members with budget management and budget trackingProcesses and codes all invoices. Works with Accounts Payable and cross-functional team members to ensure invoices are submitted and processed timely.Assists cross-functional teams on redemption budget managementPrepares and processes check requests and expense reports for team DirectorsManages team calendar. Tracks meetings, financial deadlines, activities, and events. Informs team and sends reminders on important events.Plans and executes office meetings. Arranges attendees, room locations, catering, A/V equipment, meeting material, etc. across both corporate locations. May attend select meetings to capture content, send follow and action items.Works with other Team Coordinators to organize meetings, events, etc. as neededServes as liaison between corporate offices for meeting planning and coordinationActs as first point of contact for all visiting team members and team guestsCoordinates sample requests. Prepares and distributes samples as requested by team.Arranges sampling for plant and sales offices, customer meetings, internal meetings, off-site events, sampling tours and other marketing activities, etc.Prepares and manages presentation templates and standard PowerPoint decks for meetingsOrganizes and supports team in large scale external eventsPrepares, updates, and manages market analysis reportsAudits and shares relevant competitive activityBuilds and maintains team documents, contracts, shared files, and directoriesEnsures Premium Yogurt team representation at appropriate meetings and events. Coordinates travel, logistics, and agendas in conjunction with external travel agency. Approves giveaways, coordinate samples, provides content, etc.Coordinates Premium Yogurt involvement in company initiatives (i.e. Take Our Sons and Daughters to Work Day, volunteer events, New Hire Training, Town Halls, etc.) and other special events.Assists recruiting efforts through candidate interview scheduling and logistical coordinationPREFERRED CANDIDATE QUALIFICATIONS:Education and Experience:High School Diploma or equivalent with some college or professional/business classes. College degree preferred.5+ years in an administrative support capacity. Experience supporting both teams and individuals.Travel coordination and business communications experienceKnowledge, Skills and Abilities:Strong communications ability both oral and written. Ability to communicate in a concise and efficient manner.Professional level skills with MS Office tools and Lotus NotesAbility to work independentlyAble to work hours that meet the demands of the positionHigh degree of confidentialityCollaborative work styleAble to make quick decisions and work under strict deadlinesAbility to track and follow-up on assignments, as necessaryProficiency in Microsoft Office, internet research, travel softwareAbility to be proactive, anticipate and creatively solve problemsAbility to handle hectic travel schedule with continual changesAbility to juggle competing priorities and multi-taskDetail-oriented and organizedCurious and willing to learn new skills
