We are searching for an experienced Executive Assistant for our client located in Everett. This Executive Assistant roleis a critical position responsible for supporting senior level executives with C-suite administrative support and project management and will report to the CEO. Profile of the Executive Assistant As a support partner to the leadership team, this role encompasses everything from managing complex calendars and travel, to maximizing time efficiency. This position will manage critical meetings in a fast-paced environment and continuously seek new opportunities to make the executives and their teams more efficient. The ideal candidate is organized, innovative, knowledgeable and forward-thinking when it comes to ensuring smooth operations. The position requires the capacity to work successfully in a team environment as well as strong attention to detail, efficient organizational skills and the ability to meet tight deadlines. A high level of integrity and discretion in handling confidential information is a must, and professionalism in dealing with senior professionals inside and outside the company is key. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround and take effective action when dealing with some ambiguity. Essential_Responsibilities_And_Accountabilities Provides direct administrative assistance to the CEO and Executive team Manage and coordinate complex calendars, schedules and coordinate various management meetings, compose and distribute minutes as requested, make meeting arrangements, distribute materials prior to meetings, and assist in the development of meeting agendas and other related duties Track and help drive completion of key deliverables and follow up on outstanding items to include meeting notes and action items Manage various special projects and events, which includes travel, itineraries, schedule, meeting arrangements, coordinate with participants, arrange catering or food plans, distribute materials prior to events, and assist in the development of schedule and other related duties in a timely manner Maintain designated executive information including securing files and processing information in such a way as to maintain the confidentiality of the information Maintain the company legal files including contracts, agreements, NDAs, licenses, permits, and forms Supports the management and activities for the company Security Program Additional support duties as needed The_Successful_Candidate_Will * 5+ years of progressive experience in executive administrative work * Strong organizational skills and the ability to prioritize multiple tasks seamlessly with a strong attention to detail * Proficient experience in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms Excellent organizational skills with the ability to prioritize actions and tasks Very strong interpersonal skills and the ability to build relationships with key stakeholders Excellent verbal and written communication skills, ability to compose effective written documentation and correspondence Ability to work with and cooperate with staff of all levels and customers Demonstrated ability to work effectively with diverse groups This dynamic company offers an excellent benefit package including health, dental, vision, 401(k), profit sharing, onsite gym, generous Paid Time Off and more!
