The duties and administrative functions will require confidentiality, initiative, sound decision-making, independent judgment and the ability to escalate serious or unique problems to higher levels. This candidate must be driven by a first class goal to make a substantial and valuable impact to the organization. The successful candidate will possess structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. This individual will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen. Responsibilities: Provide high level administrative support to one or more executives.Conserve executive's time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.Maintain complex and detailed calendarsScreen incoming calls and determine the level of priority while using caution in dispensing informationCoordination and logistics of both internal and external meetings, participate in staff meetings, maintain agenda items and minutes and follow up on action items as necessary.Arrange and coordinate complicated domestic and international travelOrganize aspects for offsite conferences and external events; including catering and transportationExpense Management - Processing invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Subject matter expert for policies and proceduresAssist with staff onboarding and off boarding which includes requesting equipment setup and system accessProduce high quality emails and messages to individuals at all levels of the organizationMaintain current organizational charts and Executives' BiographiesHandle regular activities without prompting, and advise in advance with issues or delaysAssist in editing spreadsheets and presentations including printing and binding for client meetingsWork cooperatively with the administrative assistant team, in positive partnership to support / back up each other smoothlyLead and coordinate ad hoc projects as requested--Qualifications Business degree, customer service background Proficient with personal computer - Word, Excel, Power Point Strong service & communication skills - verbal and written Articulate, energetic and personable Ability to travel (10%) Team Player
